Can't book a meeting room in Outlook and it keeps declining
Room booking declined means the room's mailbox rejected your invite. Either you don't have permission to book that room or the room is actually full. Try booking a different room first to see if it's a general problem or just that one room.
Meeting rooms in Outlook are managed by their own mailboxes and booking rules. When you request a room, it automatically accepts or declines based on its settings. If you're always getting declined, you either don't have access, the room has approval requirements, or the booking system has a problem.
Fix-IT-Bot will walk you through each step — just tap, no typing needed.
Skip — I just want a technicianCommon mistakes to avoid
- Not checking the room's actual calendar before assuming a decline is a glitch. If it's booked, it'll decline
- Trying the same room multiple times instead of trying a different one. If one room declines, try another to diagnose
- Asking IT before asking the room owner. Room-specific problems should go to the room owner first
